1. Controller and contact

The controller responsible for processing personal data on this website is comtrance service GmbH, In der Steele 35, 40599 Düsseldorf, Germany. Phone: +49 211 271 59 20. Email: info@comtrance.net.

For privacy questions and to exercise your rights, contact us at datenschutz@comtrance.net.

2. Website provision and server data

When you access this website, your browser transmits technical data to the web server. These include your IP address, the date and time of the request, the requested address, your browser identifier and, where applicable, the referring page. These data are processed to deliver the website, analyze errors and protect operations. Where the server logs access, corresponding details are stored in server log files.

The legal basis is Article 6(1)(f) GDPR. Our legitimate interest is the secure and reliable provision of this website and the detection and prevention of abuse. Server data are needed only for as long as necessary for these purposes; security incidents may require further retention for investigation and legal action.

3. Cookies, browser storage and external content

This website does not set cookies or store information in Local Storage or Session Storage. Language selection uses separate German and English pages without storing a language preference.

No analytics or advertising trackers, Google Analytics, Google Ads, reCAPTCHA, Google Maps or externally loaded fonts are integrated. Images, fonts supplied by your device and PDF downloads are displayed without these third-party integrations. External links connect to their destination only when opened; the destination website’s privacy information then applies.

4. Contact form, email and phone

When you contact us, we process the details you provide to handle your enquiry and communicate with you. The contact form requires your name, email address and message; company details are optional. Your selected subject is also transmitted. The form cannot be submitted without the required information.

The form sends your details by email to info@comtrance.net through a PHP script. The email also contains the IP address recorded by the server and the browser identifier (User-Agent) supplied by your browser. These technical details help assess enquiries and detect abuse. The browser identifier is supplied by the sender and is not verified identity information.

For enquiries relating to entering into or performing a contract, the legal basis is Article 6(1)(b) GDPR where its statutory conditions are met. We process other enquiries, including communication with a company’s representatives, on the basis of Article 6(1)(f) GDPR. Our legitimate interest is the appropriate handling of incoming enquiries. Processing technical sender information to prevent abuse is also based on Article 6(1)(f) GDPR.

Enquiry data are retained for as long as necessary to handle the enquiry, answer follow-up questions and, where applicable, perform a contract. Statutory retention obligations and necessary retention for establishing, exercising or defending legal claims remain unaffected.

5. Protection of the contact form against abuse

The form uses an invisible check field, a request-origin check and a server-side sending limit. A maximum of five sending attempts per IP address is allowed within 15 minutes. For this purpose, a hash of the IP address, additionally tied to the script directory, and timestamps are processed in temporary server files. For subsequent requests, only timestamps from the last 15 minutes are counted towards the limit. These files contain no names, email addresses or message contents.

The legal basis is Article 6(1)(f) GDPR. Our legitimate interest is protecting the form and email sending service against spam and automated abuse. This processing takes place on the server without cookies or browser storage.

6. Applications by email

The careers view provides information about jobs and apprenticeships. Application links open your email program; application documents are not uploaded through the website. If you send documents to bewerbung@comtrance.net, we process their contact, qualification and application data to decide whether to establish an employment relationship. The legal basis is Section 26(1) of the German Federal Data Protection Act (BDSG).

Persons responsible for recruitment have access to application data. Retention depends on the duration of recruitment and any necessary retention to defend legal claims. If an employment relationship is established, necessary data continue to be processed for that relationship. Further inclusion in an applicant pool requires a separate basis, such as your consent.

7. Recipients, retention and security

Within our company, your data are processed only by persons who need them for their respective tasks. Where we use providers for hosting, email or IT operations, they may access the data necessary for their tasks. Further transfers take place where necessary to perform a contract, comply with a legal obligation or on another lawful basis.

Retention depends on the respective processing purpose. Relevant criteria include completion of enquiry handling or recruitment, statutory retention obligations and the necessity of safeguarding legal claims. Data no longer needed must be deleted unless further lawful retention is required.

The website is provided over HTTPS. Encryption protects transmission between your browser and the web server. Further email transmission and processing depend on the technical conditions of the email infrastructure; continuous end-to-end encryption is not guaranteed.

8. Your rights

Subject to the statutory conditions, you have rights of access to your personal data, rectification, erasure, restriction of processing and data portability. Where processing is based on consent, you may withdraw it at any time with effect for the future. Withdrawal does not affect the lawfulness of processing before withdrawal.

Right to object: Where data are processed on the basis of Article 6(1)(f) GDPR, you may object under Article 21 GDPR on grounds relating to your particular situation. Contact us at datenschutz@comtrance.net.

You may lodge a complaint with a data protection supervisory authority. For North Rhine-Westphalia, this is the State Commissioner for Data Protection and Freedom of Information North Rhine-Westphalia. Contact and complaint options are available at www.ldi.nrw.de.

9. Version of this policy
